Trip Terms and Conditions

CHINA SOURCING TRIPS — TERMS & CONDITIONS

BOOKING & PAYMENT

A non-refundable deposit is required to secure your place on a Queen of the Foxes China Sourcing Trip.

Final payment is due no later than 75 days prior to departure unless otherwise agreed in writing.

Bookings are not confirmed until deposit payment has been received and written confirmation has been issued by Queen of the Foxes.

All prices are in New Zealand Dollars (NZD).


CANCELLATION BY YOU

All cancellations must be made in writing.

Cancellation fees apply as follows:

  • 74–60 days before departure — 25% of total trip cost
  • 59–45 days before departure — 50% of total trip cost
  • Less than 45 days before departure — 100% of total trip cost

Please note that flights, accommodation, supplier bookings, and transport are often prepaid and non-refundable.

No refunds will be provided for unused portions of the trip after departure.


CANCELLATION OR CHANGES BY US

Queen of the Foxes reserves the right to make changes to itineraries, accommodation, transport, or included activities where necessary due to circumstances outside of our control.

This may include weather events, supplier changes, government requirements, transport disruptions, illness, or force majeure events.

If a trip must be cancelled by us prior to departure, customers will receive either:

  • a credit toward a future trip, or
  • a refund of recoverable funds paid.

Queen of the Foxes is not responsible for additional expenses incurred by travellers including flights booked independently, insurance excesses, visa costs, or personal purchases.


TRAVEL INSURANCE

Comprehensive travel insurance is strongly recommended and is the responsibility of each traveller.

Your insurance should include:

  • medical cover
  • cancellation cover
  • travel disruption
  • luggage and personal belongings
  • personal liability

PASSPORTS, VISAS & TRAVEL DOCUMENTS

Travellers are responsible for ensuring they hold:

  • a valid passport
  • any required visas
  • vaccination documentation (if applicable)
  • all necessary travel documentation

Passports should have at least six months validity from the date of return.

Queen of the Foxes can assist with guidance where possible but accepts no responsibility for declined visas or incorrect documentation.


HEALTH & FITNESS

Our China sourcing trips involve:

  • extensive walking
  • busy markets
  • stairs and uneven surfaces
  • long days
  • international travel

Travellers are responsible for ensuring they are medically and physically fit to participate.

Any relevant medical conditions, mobility concerns, or dietary requirements should be disclosed prior to booking.


RESPONSIBILITY

Queen of the Foxes acts as a coordinator and organiser of travel experiences and works with independent suppliers including airlines, hotels, transport providers, guides, and activity operators.

While we take reasonable care in selecting suppliers, we are not liable for:

  • supplier failures
  • delays
  • airline schedule changes
  • weather disruptions
  • loss or damage to personal belongings
  • injury or illness occurring during travel
  • events outside of our reasonable control

Travellers participate at their own risk.


PHOTOGRAPHY & SOCIAL MEDIA

During the trip, photos and videos may be taken for promotional and social media purposes.

If you do not wish to appear in marketing material, please advise us in writing prior to departure.


SHOPPING & PURCHASES

Queen of the Foxes is not responsible for the quality, warranties, shipping, customs clearance, or suitability of products purchased during the trip.

All purchasing decisions are made solely at the traveller’s discretion.


ACCEPTANCE OF TERMS

By paying a deposit, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
